Pipelines, automations and templates built around the real process

Delivered through Lyfework. A GoHighLevel build where the pipeline stages match how the team genuinely moves a deal, the automations remove the steps nobody reliably remembers, and the email templates mean follow-up is written once rather than retyped.

The situation

Where they started

A CRM left on its defaults describes the software's idea of a sales process, not the one the team runs. The result is stages nobody updates and a pipeline view that stops reflecting reality within weeks.

The steps most often skipped are the unglamorous ones, the second follow-up, the note after a call, the handoff. They get skipped because they depend on memory, not because anyone disagrees they matter.

What we did

Three moves that mattered

  1. 01

Stages mapped to the real process

Pipelines were built from how the team actually moves a deal, including the messy middle stages, rather than from a template. A stage that does not describe something real is a stage that will not get updated.

  2. 02

Automate the steps that depend on memory

Follow-ups and internal handoffs moved into automations. Anything whose reliability depends on someone remembering is a candidate; anything requiring judgement was deliberately left to a person.

  3. 03

Templates so the writing happens once

An email template library covering the repeated sends, so the team edits rather than composes, which is also what keeps the tone consistent across whoever happens to send it.

The result

What changed

  • A pipeline view that reflects where deals actually are.
  • Follow-up that happens whether or not anyone remembers it.
  • Outcome figures for this engagement have not been supplied yet.
