The situation
Where they started
Task management is a category where the competition is free and excellent, so a product only justifies itself by fitting a workflow the general-purpose tools handle badly.
An application is not a fast website with forms. State is shared between users, it changes while people are looking at it, and performance has to hold when a board has hundreds of items rather than the dozen it was designed against.

Three moves that mattered

Model the work before the interface
The data model comes first in product work. Task, assignment, state and permission get decided before any screen, because an interface built over a model that does not hold gets rewritten twice.

Built to stay fast when it is full
Tested against realistic volumes rather than demo data. Most task tools feel excellent with twelve items and degrade badly at four hundred, and that is a decision made in the architecture, not a tuning problem found later.
